Declining Shipment¶
This guide covers how to decline a shipment assignment when you are unable to fulfill it. Declining requires providing a reason, and the Source Depot Officer is notified so they can reassign the shipment to another transporter.
Prerequisites¶
- You are logged in as a Transporter (owner, manager, or member with a transporter role assignment)
- You have received a "Shipment assigned to you" notification
- The shipment
handover_statusis currently awaiting (assignment pending your response)
Steps¶
Step 1: Open the shipment assignment notification¶
When a Source Depot Officer assigns a shipment to you, you receive a push notification and an in-app notification titled "Shipment assigned to you". Tap the notification to open the Shipment Detail screen, or navigate to your Shipments list and find the shipment with an Awaiting handover status badge.
Step 2: Review the shipment details¶
On the Shipment Detail screen, review the assignment information:
- Origin: Source depot name and location
- Destination: Destination depot name and country
- Orders: Number of orders and total items in the shipment
- Waybill: Attached waybill document for the route
Review these details to confirm your decision to decline.
Step 3: Tap the Decline button¶
At the bottom of the Shipment Detail screen, you will see two action buttons: Accept and Decline. Tap the Decline button to begin the decline process.
Step 4: Provide a reason for declining¶
A dialog appears prompting you to enter a reason for declining. This field is required — you cannot submit a decline without a reason. Enter a clear explanation, for example:
- "Vehicle is in for maintenance"
- "Schedule conflict — already committed to another route"
- "Route not feasible due to road conditions"
Tap Submit to confirm the decline.

The reason you provide is visible to the Source Depot Officer. Be professional and specific to help them understand your situation.
Step 5: Confirm the decline¶
After submitting, the shipment's handover_status changes from awaiting to declined. The shipment is removed from your active assignments and you no longer have responsibility for it.
Result¶
After declining the shipment:
- The shipment
handover_statusis now declined - Your decline reason is recorded and visible on the shipment
- The Source Depot Officer receives a notification that you declined, including your reason
- The SDO can reassign the shipment to the same or a different transporter
- All orders in the shipment remain at at_courier_depot status — they are not affected by the decline
- The shipment no longer appears in your active assignments

Declining a shipment does not affect your standing or ability to receive future assignments. However, frequent declines without valid reasons may prompt the SDO to prefer other transporters.
Troubleshooting¶
| Issue | Cause | Solution |
|---|---|---|
| Decline button not visible | The shipment is not in "awaiting" status for you | Verify you are viewing the correct shipment and that it hasn't already been accepted or reassigned |
| Cannot submit without reason | The reason field is required | Enter a reason explaining why you cannot fulfill the assignment |
| Decline failed (error message) | Network issue or status already changed | Check your connection and try again. If the shipment was already reassigned, it will no longer be available to decline |
| Still seeing the shipment after declining | App cache not refreshed | Pull to refresh your shipments list. The shipment should no longer appear in your active list |
