Depots

This guide covers how to configure source and destination depots for your courier organization. Depots are the physical locations that define your logistics pipeline — a single source depot in South Africa where shipments originate, and one or more destination depots in the target country where parcels are received for final distribution.

Prerequisites

  • You are logged in as the organization owner or a team member with depots write permission
  • Your courier application has been approved
  • You have at least one country configured (the country selector is available on the Country Operations tab)

Steps

Step 1: Navigate to Depots

Open the Config Hub, select the Country Operations tab, and tap Depots. The screen displays two tabs: Source and Destinations.

If you operate in multiple countries, use the country selector at the top of the Country Operations tab to choose the country you want to configure depots for. The source depot is loaded based on the selected destination country it serves.

Step 2: Configure the Source Depot

The Source tab manages your single origin depot located in South Africa. This is where all shipments for the selected country are dispatched from.

Fill in the address fields for your source depot:

Field Description
Address Line 1 Street address of your SA depot
City City where the depot is located
Province South African province (selected from dropdown)
Postal Code Postal code of the depot
GPS Coordinates Latitude and longitude (used for distance calculations)

Warning

Your source depot must have GPS coordinates set. Distance-based pricing and operations rely on accurate GPS data. The Config Hub shows a warning indicator on the Depots card when GPS coordinates are missing.

You can also configure a Depot Manager for the source depot:

  • Manager Name — The person responsible for source depot operations
  • Manager Phone — Contact number for the source depot manager

Step 3: Add Destination Depots

Switch to the Destinations tab. Tap the + button in the app bar to add a new destination depot.

Each destination depot requires:

Field Description
Label A descriptive name (e.g., "Destination Depot 1")
Address Line 1 Street address of the depot
City City in the destination country
GPS Coordinates Latitude and longitude for distance-based operations

Tip

You can add multiple destination depots for a single country. Each depot serves as a collection point for recipients in that area. The counter at the top of the destination list shows how many depots you've configured against the platform maximum.

Step 4: Configure Depot Manager (per destination)

Each destination depot has an optional Depot Manager section with:

  • Manager Name — The person overseeing operations at this depot
  • Manager Phone — Contact number for the depot manager

Step 5: Configure Custom Pricing (optional)

Each destination depot can optionally override the default courier pricing. Toggle the Custom Pricing switch to enable per-depot pricing with the same fields as the main pricing configuration (pricing method, base fee, cost per kg, volumetric divisor, minimum charge, per-km cost, and markup percentage).

Note

When custom pricing is disabled for a depot, the default courier pricing for the country applies. Enable custom pricing only if a specific depot has different cost characteristics (e.g., a more remote location requiring higher per-km rates).

Step 6: Manage Destination Depots

Each destination depot card has a menu (⋮) with the following actions:

  • Deactivate / Activate — Toggle the depot's active status. Deactivated depots are hidden from customers and operational workflows.
  • Disable / Remove — For saved depots, this deactivates the depot (it can be re-enabled later). For unsaved depots (not yet persisted), this removes the entry entirely.

Step 7: Save

Tap Save Depots at the bottom of the screen to persist all changes to both the source depot and destination depots.

Result

After configuring your depots:

  • Your source depot is stored as the origin point for all shipments to the selected country
  • Destination depots appear as collection points in the Operations Flow pipeline
  • Team members can be assigned to depots via Location Assignments
  • The Config Hub Depots card shows a summary: "Source ✓ · N destinations"
  • Warning indicators are cleared once a source depot with GPS coordinates is configured and at least one destination depot exists

Warning Indicators

The Config Hub shows a warning on the Depots card when any of the following conditions are true:

Condition Warning Meaning
No source depot configured Shipments have no origin point for this country
Source depot missing GPS coordinates Distance-based pricing and routing cannot function
No destination depots configured No collection points exist for recipients in this country

Warning

All three conditions must be resolved before the Depots card warning clears. GPS coordinates are essential — without them, distance-based operations (per-km pricing, route optimization) cannot calculate distances accurately.

Troubleshooting

Issue Cause Solution
Warning indicator won't clear Source depot is missing, has no GPS, or no destination depots exist Ensure a source depot with GPS coordinates is saved and at least one destination depot is configured.
Cannot add more destination depots Platform maximum reached The platform enforces a maximum number of depots per courier. Contact support if you need more.
"+" button not visible You lack depots write permission or are on the Source tab Switch to the Destinations tab and ensure you have write access to the depots section.
Save fails with an error Network issue or server error Check your connection and try again. If the issue persists, contact support.
Source depot not loading Country selector may have changed The source depot is loaded for the currently selected destination country. Ensure the correct country is selected.
Depot shows "Disabled" badge The depot was deactivated Use the menu (⋮) on the depot card and select "Activate" to re-enable it.
