Declining a Batch

This guide covers how to decline a batch arrival from a dispatcher. Declining notifies the dispatcher of the reason, and they may retry the handover to you or to a different Pickup Point Officer.

Prerequisites

  • You are logged in as a Pickup Point Officer
  • A dispatcher has initiated a batch handover to your pickup point
  • You have received a pickup_handover notification
  • The batch pickup_handover_status is currently awaiting

Steps

Step 1: Open the batch arrival request

When a dispatcher arrives at your pickup point and initiates a handover, you receive a notification. Tap the notification or navigate to your Incoming Batches screen to view the pending handover request.

Step 2: Review the batch details

On the batch detail screen, review the information provided:

  • Depot of origin — the destination depot the batch was dispatched from
  • Number of orders — total orders included in the batch
  • Order items — summary of items in each order

Review these details carefully to determine whether you can accept the batch.

Step 3: Tap the Decline button

If you cannot accept the batch (e.g. items don't match, storage capacity full, or other issue), tap the Decline button on the batch detail screen.

Step 4: Provide a reason for declining

A dialog appears asking you to provide a reason for declining the batch. This field is required — you cannot submit without entering a reason. Common reasons include:

  • Items do not match the batch manifest
  • Damaged goods detected upon inspection
  • Storage capacity at pickup point is full
  • Batch delivered to incorrect pickup point

Enter your reason and tap Submit.

Warning

The decline reason is visible to the dispatcher and their Destination Depot Officer. Provide a clear, specific reason so the issue can be addressed before a retry.

Step 5: Confirm the decline

After entering a reason, the batch pickup_handover_status changes from awaiting to declined. The batch is removed from your pending arrivals.

Result

After completing these steps:

  • The batch pickup_handover_status transitions from awaiting to declined
  • The dispatcher receives a notification that you have declined the handover, including your reason
  • The dispatcher may retry the handover to you (after addressing the issue) or to a different Pickup Point Officer
  • The batch remains with the dispatcher until successfully handed over
  • Orders in the batch stay at their current status (they are not moved to at_pickup_point)

Troubleshooting

Issue Cause Solution
Decline button not visible The batch is not in "awaiting" state for your pickup point Verify the handover was actually initiated to you. Check with the dispatcher.
Cannot submit without a reason The reason field is required Enter a clear reason describing why you are declining the batch.
Dispatcher retries immediately The dispatcher believes the issue is resolved Re-review the batch details. If the original issue persists, decline again with an updated reason.
Batch still appears in your list after declining App has not refreshed Pull to refresh or navigate away and back. The batch should disappear from pending arrivals.
Dispatcher not notified Network or notification delivery issue Contact the dispatcher directly to inform them of the decline and your reason.
