Creating Shipments¶
Group orders that are ready to ship into a new or existing shipment for dispatch to the destination country.
Prerequisites¶
- You are logged in as a Source Depot Officer (or courier owner/manager)
- A destination country is selected from the drawer
- Orders are at at_courier_depot status with all readiness requirements met:
- Depot receipt has been uploaded (per store)
- Supplier invoice is on file (per store)
- Customer passport is on file (uploaded by the customer to their profile)
- Item weights are recorded for all active items
- Orders must not already be assigned to another shipment
Readiness Requirements
Orders missing any of the four requirements (depot receipt, supplier invoice, passport, or item weights) will appear in the Needs Attention tab instead of the Ready to Ship tab. All four must be satisfied before an order can be added to a shipment.
Steps¶
Step 1: Navigate to the Source Depot screen¶
Open the courier operations flow and select the Source Depot stage. The screen displays two tabs: Needs Attention and Ready to Ship.
Step 2: Open the Ready to Ship tab¶
Tap the Ready to Ship tab. This tab shows only orders that have met all readiness requirements (depot receipt, supplier invoice, customer passport, and item weights). The tab badge shows the count of ready orders.
Step 3: Select orders for the shipment¶
Tap on individual order cards to select them. Selected orders are highlighted and a selection header appears showing the count. Use Select All to select every order, or Clear to deselect all.
Tip
You can select orders destined for the same destination depot to keep shipments organized. The destination depot label is shown on each order card.
Step 4: Choose shipment action¶
Once orders are selected, a bottom action bar appears with two options:
- New Shipment — Creates a brand-new pending shipment with the selected orders
- Add to Shipment — Adds the selected orders to an existing pending shipment
Step 5a: Create a new shipment¶
Tap New Shipment. The system creates a new shipment in pending status and assigns all selected orders to it. A success message confirms creation.
Step 5b: Add to an existing shipment¶
Tap Add to Shipment. A bottom sheet appears listing existing pending shipments (up to 5), showing each shipment's reference ID and current order count. Tap a shipment to add the selected orders to it.
Note
If there are no existing pending shipments, a message will indicate you should create a new one instead.
Result¶
After completing this action:
- Selected orders are grouped into the chosen shipment
- The shipment remains in pending status until a transporter is assigned
- Orders disappear from the Ready to Ship tab (they are now part of a shipment)
- The selection is cleared automatically
Troubleshooting¶
