Accepting a Shipment¶
This guide covers how to accept a shipment assignment as a Transporter. When a Source Depot Officer assigns you a shipment, you receive a notification and the shipment appears in your Pending tab. Accepting the shipment automatically marks all orders in it as in transit and changes the shipment status to dispatched.
Prerequisites¶
- You are logged in as a Transporter (owner, manager, or member with a transport route assignment)
- You have received a "Shipment assigned to you" notification from a Source Depot Officer
- The shipment is in awaiting handover status (visible in your Pending tab)
Steps¶
Step 1: Open the notification¶
When a Source Depot Officer assigns a shipment to you, you receive a push notification titled "Shipment assigned to you". Tap the notification to navigate directly to your shipments screen, or open the app and navigate to My Shipments from the courier home screen.
Step 2: Review the pending shipment¶
On the My Shipments screen, select the Pending tab. Shipments awaiting your response are grouped by destination depot. Each shipment card shows:
- Shipment reference (e.g. Shipment #A1B2C3D4)
- Order count — number of orders in the shipment
- Weight — combined estimated weight
- Documents status — whether waybill and other docs are attached
- Source depot — where you will collect the goods
- Item preview — summary of items being shipped
Review these details to confirm you can fulfill the transport.
Tip
Tap View Orders & Details on the shipment card to open the full shipment detail screen with a complete list of orders and their items.
Step 3: Accept the shipment¶
Once you have reviewed the shipment details and are ready to transport, tap the green Accept button on the shipment card.
A confirmation dialog appears:
"You are accepting this shipment for transport. All orders will be marked as In Transit. Proceed?"
Tap Accept & Dispatch to confirm.
Step 4: Confirm acceptance¶
After tapping Accept & Dispatch, the system processes your acceptance. A success message appears at the bottom of the screen:
"Accepted. X order(s) now In Transit."
The shipment moves from the Pending tab to the In Transit tab.
Result¶
After accepting the shipment:
- The shipment handover_status changes from
awaitingtoaccepted - The shipment status changes to
dispatched - All orders in the shipment are automatically marked as in_transit
- An audit trail entry records that you accepted the shipment (event:
transporter_accepted) - The Source Depot Officer sees the shipment as dispatched in their view
- You can now physically collect and transport the goods

Once accepted, the shipment appears in your In Transit tab where you can initiate a Depot Handover when you arrive at the destination, Reassign to another transporter, or Return to Source if needed.
Troubleshooting¶
| Issue | Cause | Solution |
|---|---|---|
| No shipments in Pending tab | No shipments have been assigned to you, or they were reassigned | Check with the Source Depot Officer. Pull down to refresh the list. |
| Accept button is disabled | You don't have write permission at this stage | Contact your manager — you may need a transport route assignment with write access. |
| "Failed" error after tapping Accept | Network issue or the shipment was modified by another user | Check your connection and try again. If the issue persists, pull to refresh — the shipment may have been reassigned. |
| Notification received but shipment not visible | App data is stale | Pull down on the Pending tab to refresh, or tap the refresh icon in the app bar. |
